Development guidelines for the e-news system

e-news is our new system for keeping our members updated with our work. It works by emailing newsletters to members who have signed up for the service with articles and news created by us. The email they receive is structured in keeping with our Branch’s professional image.

Pictured left is an example of how the e-news appears when members receive it.

Along with our Branch image, the news articles we put on there can be accompanied by pictures and links to other websites or large, more detailed articles on our own Branch website.

Committee Members are asked to encourage any member wanting to know more about our work to sign-up to the newsletter.

How we create e-news

Like the Branch website, e-news is created by committee members emailing articles for inclusion. e-news has some restrictions though, the primary one being the size of the articles for inclusion.

To create an addition to e-news, simply send an article to me attaching any pictures you feel should go into the article.  The articles are limited to about 100 letters including spaces before they become too big to look presentable. However, there is some flexibility with this and various graphic design options will be used to try and accommodate your article.

Before e-news is released to our members, it is sent to the branch committee for their approval. Once approved (or amended) it is automatically sent out to the members.

We are free to release e-news  as many times as we want - once a month or five times a week!

Complying with the Law

The law requires websites that collect information, such as email addresses, to protect those details in the same way that a members home address or telephone number are.

For this reason we have had to develop a Privacy Policy which explains how we will use their email address once they have given it to us. Our Privacy Policy says that whilst we will communicate news we feel is relevant to our members, the primary role of e-news is to communicate information about our branches work within the Trust.
For this reason, we need to use good judgment on what we include in the e-news.

Like the Branch website, we cannot include articles or pictures created by others without their express permission.
